Sender reputation: the score nobody will show you
Sender reputation is a set of private scores mailbox providers keep on your domain and IPs. What moves them, why they drop fast, and where you can peek.

Sender reputation is a set of scores that mailbox providers keep about your sending domain and your sending IP addresses, privately, each provider for itself. Gmail holds one opinion of you and Microsoft holds a different one, and neither will show you the number. There is no central reputation database in email, no committee, no shared ledger. The scores are secret; the signals that move them are not. That second part is the good news, because the signals are things you control.
What the score actually is
Every time a mailbox provider (the company hosting your recipients' inboxes: Gmail, Microsoft, Yahoo and the rest) handles a message from you, it remembers. It remembers which domain the mail was authenticated as, which IP address delivered it, and what the recipient did with it afterwards. Over months, that memory condenses into something like a trust rating: mail from this domain is wanted, mail from that one is borderline, mail from this other one is junk. That rating is reputation, and the filter consults it before it reads a single word of your next campaign.
Two corrections to the folk version of this, because most advice online gets both wrong.
First, reputation is tracked separately for your domain and for your IP. Domain reputation follows your brand wherever it goes: switch email tools tomorrow and Gmail's memory of yourdomain.com comes with you. IP reputation attaches to the server address that physically delivered the message, which, if you use a normal email service provider, is an address you share with strangers. The next lesson is about what that sharing means.
Second, the scores are plural. Gmail's machine-learned models, Microsoft's reputation systems and Yahoo's filters are built by different teams on different data and they do not compare notes. You can be trusted at Gmail and throttled at Microsoft on the same afternoon. A pattern we see often: someone "fixes their deliverability" by testing against their own Gmail account, declares victory, and never learns that every Outlook recipient is still foldering them (having their mail land in the spam folder instead of the inbox).
Complaints outrank everything
The spam button is the loudest thing a recipient can say about you. Authentication, covered in the previous module, proves who sent the mail; a complaint is a human telling the provider, in one click, that the mail was unwanted regardless of who sent it. Providers treat that as close to ground truth, and they weight it accordingly.
Complaint rate is measured against volume, so small absolute numbers still bite. A few hundred complaints inside a big send is a rounding error to you and a flashing light to Gmail. Google is unusually explicit about this signal: it publishes hard thresholds for bulk senders, which get their own lesson later in this module. For now the ranking is what matters. Nothing you do with content, design or send timing outweighs a sustained complaint problem.
The quieter signals: what readers do with your mail
Below complaints sits engagement, the accumulated record of recipient behavior. Positive signals: someone replies to you, forwards the message, moves it into a folder, or rescues it from spam by hitting "not spam" (that last one is among the strongest single votes of confidence a filter can receive). Negative signals: the message is deleted without being read, or simply ignored, campaign after campaign, by a growing share of your list.
None of this is per-message opinion polling. The provider watches what thousands of your recipients do in aggregate, and it also watches what each individual does with you specifically, which is why the same email can land differently in two inboxes at the same provider. That per-user layer gets full treatment in how spam filters decide.
One honesty note. Providers do not publish the weightings, so anyone giving you exact percentages ("opens count for 20% of your score") is making them up. The ordering above is well established from provider documentation and from watching real domains. The arithmetic is nobody's to know.
Consistency, volume and bounces
Filters like senders who behave the same way every week. A steady cadence from a stable set of IPs reads as a legitimate operation. A domain that has been quiet for months and suddenly fires 200,000 messages looks like one of two things: a compromised account, or someone who just bought a list. Both get the same cold reception. New domains have the related problem of no history at all, which providers treat cautiously rather than generously.
Bounce behavior is the last big input. A hard bounce is a permanent failure, usually "this address does not exist". A sender who keeps hitting dead addresses is telling the provider its list is old, scraped or purchased, because a real list of real subscribers doesn't contain many ghosts. Providers also notice whether you stop mailing an address after it bounces. Bounces and complaint handling get a full lesson in the next module.
Earned slowly, lost fast
The asymmetry is the part that surprises people. Building reputation takes weeks to months of consistent, wanted mail. Losing it can take one send. A single blast to a stale list, one compromised password used to pump spam through your account, one afternoon of a colleague's "growth experiment", and a year of careful sending drops a tier. Recovery is slower than construction, too, because a provider that has been burned demands a longer track record the second time.
This is also why reputation problems feel sudden when they aren't. The score erodes across many sends, a little at a time. The visible symptom, a campaign that folders badly, shows up long after the slide began.
Where you can actually look
For most senders there is exactly one window: Google Postmaster Tools. It's free. You verify ownership of your domain with a DNS record, and Google shows you its view of your domain reputation and IP reputation in four buckets (High, Medium, Low, Bad), plus your user-reported spam rate and your authentication pass rates. It is Gmail's opinion only, it needs meaningful Gmail volume before the charts populate, and it lags a little. It is still the closest thing to reading the actual score that exists anywhere.
Microsoft runs a service called SNDS that reports on sending IPs, but it's built for people who control those IPs, so if you send through an ESP's infrastructure it mostly can't help you. Yahoo publishes requirements and offers feedback mechanisms, and shows you no score at all.
I'll be straight about where Inbox Decay sits in this: we cannot see your reputation either. No tool can, whatever the marketing says. What we do is measure the inputs that feed it, continuously: whether your authentication actually passes and aligns on real sends, whether your domain or discovered sending IPs turn up on blocklists, whether the compliance headers Gmail demands are present. The "sender score" myth
You will meet services that sell a single reputation number out of 100. It looks authoritative. It is not what Gmail thinks of you. Those scores are computed from the vendor's own data: their trap networks, their panels, whatever mail flows they can observe, which is a tiny and skewed slice of the mail Gmail sees. A universal sender score does not exist for the same reason a universal filter doesn't: every provider builds its own.
Treat third-party scores as a rough proxy at most. If one of them says 95 and Postmaster Tools says your domain reputation is Bad, believe Postmaster Tools. It's the only party in that conversation that actually decides where your mail lands.
Your reputation has two halves, and on shared infrastructure the IP half belongs partly to strangers. Shared vs dedicated IPs works out whose behavior you're actually pooled with, and how much of the IP-warming ritual is folklore.
