Adding and managing domains
The three ways domains enter your workspace, how subdomain suggestions work, why mailbox-provider domains are excluded, and bulk tools for many domains.
Last updated 18 July 2026
A domain gets into your workspace one of three ways:
- At signup. Sign in with
you@yourbusiness.comandyourbusiness.comis added and checked immediately. - Manually. The add-domain button on the dashboard or the domains page. Type it, and it's checked on the spot.
- From your own emails. When a test email arrives, we add the domains it reveals: the From domain, plus bounce and signing domains that sit under an apex you already track. High intent, no guessing, so these are added automatically.
Subdomain suggestions
When you add a domain by hand, we also probe the names email tools commonly provision (mail, send, bounce, news and similar) under it. If any of them show email-shaped DNS, we offer them as a multi-select suggestion. Nothing is added unless you pick it; the scan is an offer, not a decision.
Typing a subdomain directly does two things at once: the subdomain is added, and so is its parent domain, because the two are separate DNS zones that fail independently. Klaviyo users meet this constantly: the branded sending domain lives on send.yourstore.com, and checking only the apex tells you nothing about it.
Why some domains show as "not checked"
Add gmail.com and it appears in your list visibly excluded, tagged as a mailbox provider. That's deliberate. The DNS of a public mailbox provider belongs to the provider; a verdict on it would be one you can neither act on nor fix. The tag is removable if you added it by mistake.
Working with many domains
Multi-domain senders (agencies watching client domains, businesses with country domains) get two conveniences:
- Labels and groups, with filtered views, so fifty domains don't read as one undifferentiated wall.
- Bulk add by CSV for getting a portfolio in at once.
Every domain in the list is re-checked on your workspace's monitoring cycle, whatever its source. If a record you just added isn't showing up in a check yet, that's usually DNS propagation rather than a mistake; Added a record but it won't validate? walks through the wait-or-worry decision.
Still stuck?
A human reads every message: support@inboxdecay.com. Include your workspace email and the domain in question and you'll usually have an answer within a business day.
